Job Description:
About the Role

You will provide a high level of administrative support to 1-2 Directors within out Aged Care and Villages Business. This role is varied and fast paced and requires delivery of accurate and timely administration services, personal support, and coordination of activities such as communications, event/diary coordination, venue booking, travel, invoicing and other miscellaneous tasks.

This is an initial 6 month full-time contract, with the potential of extension.

Coordinate meetings and functions (including organising technology, catering and presentations), fielding support queries, booking travel arrangements, managing stationary and office supplies.

Receive, prioritise and distribute incoming calls and emails.

Agenda preparation and circulation, minute preparation and distribution, and pre-circulation of meeting papers/presentations as necessary.

Prepare presentations and documents as requested, complete photocopying and filing (electronic and paper-based)

Liaise with other Executive and Personal Assistants to ensure effective communication and requirements are met amongst the team. You will also act as back-up support to other team members when required.

Curate an environment where our people have everything that they need to be successful in their roles, from security access, IT equipment right through to OH&S.

Ensure an efficient and organised working environment and provide adaptable and rapid support for team members.

Other special projects, general duties and responsibilities as directed.

Skills & Experience

Prior proven experience in a similar role

Strong verbal and written communication skills

Discrete with sensitive information with a high level of confidentiality

Ability and comfort in managing multiple competing priorities efficiently and effectively whilst not forsaking quality outcomes

Proven ability to meet strict deadlines in an efficient and effective manner

Ability to take initiative and be proactive in contributing to achieving the Team’s goals

Confidence in liaising with people at all levels

Ability to prepare/assemble ‘draft’ presentations based on ‘raw materials’

Display a high level of resilience to a busy demanding role
